AI in Sales: 7 Use Cases
From call preparation to follow-up: seven concrete use cases showing how sales teams in mid-sized companies can use AI sensibly – each with practical guidance.
In sales, time with the customer determines success. Yet a large part of the working day goes into preparation, research, emails and follow-up. This is exactly where AI can help – not by taking over the selling, but by speeding up the work around it. The following seven use cases are deliberately concrete. For each one you will find how to implement it and what to watch out for.
Before you start: three foundations
AI in sales only works as well as the information it can access. Clarify the following in advance:
- Consolidate knowledge: Product sheets, price lists, reference descriptions and standard answers belong in one place the AI can search.
- Define access rights: Not every sales document is meant for everyone. Conditions and margins should only be visible to those who need them.
- Review remains mandatory: Language models can invent facts. Anything that goes to customers is read by a person first.
1. Call preparation in minutes
Before an appointment, sales staff gather information from the CRM, from old emails and from the customer's website. An AI can condense these steps.
How to implement it
Connect your CRM via a connector so the AI can look up contacts, companies and deals live. Then ask for a briefing in the chat: "Summarise what we know about company X: contacts, open deals, recent touchpoints. Add three questions for the conversation." If needed, add web research on the company's current situation. A fixed structure for the briefing is important so that results remain comparable.
2. Answering product and quote questions reliably
"Will this work with our existing installation?" "What lead time applies to variant B?" Such questions often land with a few experienced colleagues. An AI with access to company knowledge can answer many of them directly.
How to implement it
Upload technical data sheets, FAQs and quote templates to a knowledge base. The AI then searches for matching sections and formulates an answer with a source reference. This lets sales check the statement before it goes to the customer. Maintain the documents actively: outdated price lists lead to outdated answers.
3. Pre-sorting incoming enquiries and drafting replies
A shared sales inbox fills up with enquiries, follow-up questions and confirmations. Anyone who has to sort first loses time for the actual reply.
How to implement it
With a Gmail connector, the AI can read incoming mail and pre-sort it with custom labels, for example "New enquiry", "Existing customer" or "Complaint". For typical enquiries, an agent creates a draft reply based on your company knowledge. The employee reviews, adds to and sends it. Start with one clearly defined type of enquiry, such as sample requests or availability questions.
4. Following up on meetings without the stress of minutes
After a customer appointment, results must be recorded, tasks assigned and a follow-up sent. If this is left undone, commitments get lost.
How to implement it
Record the conversation – with the knowledge and consent of all participants – and have a transcript and summary created. A good summary separates topics, decisions, tasks and open questions. In the next step, this becomes the draft for the follow-up email. The employee still maintains the CRM, but now based on a complete summary.
5. Weekly pipeline overview
Sales managers want to know which deals are stuck, which appointments are coming up and where follow-up is needed. Building that overview manually takes time every week.
How to implement it
Define a prompt that describes the desired analysis, for example: "List all deals in the proposal stage that have had no activity for more than 14 days, with contact person and next step." The AI looks up the data via the CRM connector. With a scheduled routine, this prompt runs automatically, for example every Monday at 8 am. Check the first results against the CRM before you rely on the overview.
6. Consistent texts with a prompt library
Quote cover letters, objection handling, appointment confirmations: everyone on the team phrases things differently, and good wording stays with individuals.
How to implement it
Collect proven prompts as templates with variables, for example for customer name, product and occasion. Share the templates with the team so everyone can access them from the chat. Specify tone and length in each template. This gradually creates a shared standard without everyone having to develop their own prompts.
7. Research directly on the website
Before cold outreach or a tender, sales staff read a prospect's web pages, press releases and job ads. This is valuable but time-consuming.
How to implement it
A browser extension brings the AI alongside any web page. Have the page summarised or ask targeted questions: "Which product areas does the company mention? Are there signs of growth or new locations?" Combine the answers with your company knowledge to find suitable references.
How to introduce AI in your sales team
Successful rollouts start small. A four-step approach has proven effective:
- Choose one use case: Start with the case that costs the most time today and whose result is easy to check – often call preparation or meeting follow-up.
- Appoint a pilot team: Two or three people test the workflow for a few weeks and record what works and what does not.
- Refine templates and knowledge: The pilot team's experience leads to better prompts, more up-to-date documents and clearer rules.
- Roll out step by step: Only once the first case runs reliably do further teams and use cases follow.
Remember training as well: since February 2025, the EU AI Act requires companies using AI to ensure a sufficient level of AI literacy among their staff.
What AI does not do in sales
AI replaces neither relationships nor negotiating skill. It knows your customers only as well as the data you make accessible to it, and it can be wrong. Measure the benefit against concrete metrics, such as time spent on call preparation or response time to enquiries, and expand use step by step. Also pay attention to data protection: customer data belongs in a tool with a data processing agreement and clear access rights.
Sales with AIPE
AIPE brings these use cases together on one platform. The HubSpot connector and the Propstack connector provide live tools with which the AI searches and reads records in the CRM. The knowledge base delivers answers with source references, the Gmail connector helps with the inbox, and meeting recording creates transcript and summary. With agents and routines you automate recurring workflows, the prompt library ensures consistent texts, and the browser extension supports research.
The page AIPE for sales shows what this looks like for sales teams. If you would like to try a use case with your own data, book a demo.
