AI Agents in SMEs: What They Can Really Do — and What They Can't
AI agents are the buzzword of the year. But what do they actually deliver in day-to-day SME operations — and where are the limits? An honest field report without the hype.
What an AI Agent Actually Is
An AI agent is not a chatbot with more computing power. And it is not an RPA script running a preprogrammed sequence. An AI agent is a system that interprets a task, builds a plan, uses tools and data, evaluates intermediate results, and adapts its approach — without every step needing to be predefined.
The key difference from ChatGPT: a chat interface is stateless. It responds to prompts. An agent acts — it calls APIs, writes to systems, triggers processes, and its results have real-world consequences. This makes agents more powerful and simultaneously more demanding to implement properly.
Five Tasks Agents Reliably Handle Today
1. Automated shift reports: The agent reads machine data from ERP, adds quality data from MES, compares against targets, and generates a structured shift report — without a human writing a single line. Time saved: 45–90 minutes per shift manager per day.
2. Escalation management in logistics: When a route deviates from plan, the agent analyses the situation, identifies affected downstream deliveries, evaluates alternatives, and notifies relevant stakeholders.
3. Sales proposal preparation: The agent retrieves customer history, open positions, pricing history, and similar completed projects from CRM and ERP — and creates a structured proposal template with relevant context.
4. HR onboarding checklists: When a new employee is registered, the agent automatically triggers all relevant processes: IT account, access rights, onboarding documents.
5. Controlling reports: Monthly KPI reports are no longer created manually. The agent aggregates data, compares with the prior period, identifies deviations, and produces an annotated report.
Where Agents (Still) Fall Short
Honesty here matters more than hype. AI agents in 2026 are powerful — but not omnipotent.
Physical world: Agents operate in data systems. They cannot intervene on the shop floor or operate machinery.
Creative strategy: Market positioning, product development, negotiation-level relationships — these remain human domains.
Without a knowledge graph, they hallucinate: An agent without verified company data invents answers. This is an architecture failure, not the agent's fault.
What Good Agent Architecture Looks Like
The quality of an AI agent depends 80% on its data foundation. Good agent architecture has four pillars: a knowledge graph as foundation; granular RBAC; human-in-the-loop for critical steps; and a complete audit trail.
The Right Entry Point: Use Case Before Platform
The most common mistake: companies buy an agent platform and then search for use cases. The correct approach is the reverse. Choose one concrete pain point. Run a pilot in 4 weeks. Measure the effect. Then scale.
